Start with data ownership

Many synchronization problems begin when both systems are allowed to edit the same information without a clear rule for which one wins. A robust integration starts by defining ownership separately for catalogue data, available stock, pricing, orders and fulfilment status.

Each flow can then use the appropriate mechanism: API calls, webhooks, queued events, scheduled batches or a dedicated integration layer. Not every update needs to be real-time; the priority is predictable, consistent data.

Decide whether product identity, SKUs, variants and attributes originate in ERP/PIM, e-commerce or another catalogue system.

Inventory definitions

Distinguish physical stock, reserved stock, sellable quantity and warehouse-specific availability instead of synchronizing one ambiguous number.

Define where base prices, customer-specific pricing, promotions and tax values are maintained and how they are updated.

Order lifecycle

Treat order creation, payment status, ERP acceptance, fulfilment and cancellations as a lifecycle rather than a single export.

    Verify behaviour when either platform is unavailable, slow or returns partially valid data.

  4. Controlled rollout

    Validate with test data, limited scope and reconciliation before relying on the integration in full production use.

Practical questions before a project starts

Which system should own inventory?

There is no universal answer. In many businesses the ERP or operational system is authoritative, but the design must account for reservations, multiple warehouses and e-commerce-specific availability rules.

Can orders flow from e-commerce to ERP automatically?

Yes, provided product and customer mappings, payment status, identifiers and failure handling are defined clearly. Automatic export without an exception process usually creates operational problems later.

Can synchronization be bidirectional?

Yes, but bidirectional editing of the same fields increases conflict risk. We prefer explicit ownership and narrowly defined reverse flows where possible.

Can an existing e-shop be integrated without replacing it?

Often yes. The feasibility depends on the available APIs, data model, plugin constraints and the quality of the existing platform.
